This privacy notice tells you what I will do with your personal information from initial point of contact through to after your therapy has ended, including:

If you have any queries about this privacy notice or about any aspect of my data management, please contact the “data controller” at .

‘Data controller’ is the term used to describe the person/organisation that collects and stores and has responsibility for people’s personal data. In this instance, the data controller is me.

3. My lawful basis for holding and using your personal information

The GDPR states that I must have a lawful basis for processing your personal data. There are different lawful bases depending on the stage at which I am processing your data. I have explained these below:

If you are contacting me to enquire about my therapy services and if you have had therapy with me and it has now ended, I will use legitimate interest as my lawful basis for holding and using your personal information.

If you are currently having therapy or if you are in contact with me to consider therapy, I will process your personal data where it is necessary for the performance of our contract.

The GDPR also makes sure that I look after any sensitive personal information that you may disclose to me appropriately. This type of information is called ‘special category personal information’. The lawful basis for me processing any special categories of personal information is that it is for provision of health treatment (in this case psychological therapy) and necessary for a contract with a health professional (in this case, a contract between me and you).

4. How I use your information

Initial contact

When you contact me with an enquiry about my therapy services, I will collect information to help me satisfy your enquiry. This will include your full name, contact number and email address. At a later stage and just before/during your first session, I will also ask you for home address, date of birth, your GP details and a name, telephone number and address for an emergency contact person and details about your private health insurance if applicable. Alternatively, your GP or other health professional may send me your details when making a referral or a parent or trusted individual may give me your details when making an enquiry on your behalf.

If you decide not to proceed I will ensure all your personal data is deleted within one years. If you would like me to delete this information sooner, just let me know.

While you are accessing psychological therapy

Rest assured that everything you discuss with me is confidential. That confidentiality will only be broken if I have a legal or ethical obligation, which conflicts with clinical confidentiality. For example, if I believe either yourself or someone else is at imminent risk from what you have disclosed to me. I will always try to speak to you about this first, unless there are safeguarding issues that prevent this.

I will keep a record of your personal details to help your therapy run smoothly. These details are kept securely on my personal computer and are not shared with any third party.

I will keep written notes of each therapy session, these are kept in a secure and locked cabinet at my home address. The purpose of keeping these notes is solely for my own use and record of the work we have done, in case I will need to refer to this at a later stage.

For security reasons, I will regularly, and within 6 months, delete text messages from or to you. If there is relevant information contained in a text message I will make a note of these in your written notes. Likewise, any email correspondence will be deleted after one year if it is not important. If necessary I will keep a written copy in your written notes.

I may refer to our work in my (professional and peer) supervision, that is a requirement of my professional practice. I will not disclose any personally identifiable information about you during supervision, nor share any personal data or written notes with any supervisor.

After your psychological therapy has ended

Once your therapy has ended, your records will be kept for seven years from the end of our contact with each other and are then securely destroyed. If you want me to delete your information sooner than this, please tell me.

5. Third party recipients of personal data

I will not share your personal data with any third parties.

All professional supervision I receive is for the purpose of ensuring that I provide safe and efficient therapy to yourself.

I will not share copies of my notes or your name or other identifiable material with any of my supervisors (peer or professional). However, I may share verbally some details of the issues that you bring to our work and discuss these and how I am working with you in supervision, in confidence. I will endeavour to keep all identifiable information about you from the content of my supervision work.
